Marine project coordinator

SafeLane is seeking to appoint a Marine Project Coordinator to support project management delivery for the international marine services team.

A summary of the role’s duties include:

  •  supporting all project management requirements 
  • selecting, negotiating, and purchasing equipment for projects

  • entering & raising purchase orders

  • adding suppliers to the internal databases and sending-out supplier questionnaires

  • generating contracts for casual workers, ensuring these have been signed, and maintaining contract files

  • keeping all project manning schedules up-to-date

  • organising hotel & travel arrangements for deployed staff

  • reviewing and approving time sheets and expense claims of deployed staff

  • coordinating the preparation of site / vessel safety instructions (SSIs/VSIs) as well as toolbox briefings (TBBs)

  • processing project-specific documentation for deployed personnel

  • acting as the point of contact for all project queries in the absence of management

  • ensuring that all project-related incoming and outgoing correspondence is dealt with appropriately

  • participating in project reviews with management and finance and providing input into cash collection and accrual processes

  • preparing and issuing invoices

  • reviewing and ensuring the collection of cash

  • investigating invoicing issues with clients’ sales, operations, and accounts departments

  • providing support in the preparation of tenders / proposals. (e.g. presentations in MS PowerPoint / approved supplier questionnaires, etc.)

  • supporting the conversion process from all enquiries to internal orders

About you:

It is essential you are flexible, adaptable and a strong team-player, and that you have a high level of numeracy skills.  You will have effective time management and prioritising abilities, and be able to collaborate with others.

You should be able to use your own initiative and have excellent written and verbal communication skills.

It is preferred that you have an awareness of the marine industry services and practices, knowledge of commercial EOD services within land and marine operations and an understanding of geophysical survey techniques and methods.
